Managing students

View, search, and manage student records — bookings, certifications, notes, and communications.

The Students section is your CRM for everyone who has ever booked a class or been added to the system. Each student has a profile with their full history of classes, certifications, payments, and communications.

Finding students

You can filter the student list by

  • All — every student in your account
  • Booking — students who have booked a class
  • Import — students added via CSV import
  • Wallet Signup — students who created a portal account
  • Org Invite — students added by an organization admin

Use the search box to find a student by name, email, or phone number. The universal search (Cmd+K) also searches students from anywhere in the admin.

Student profile

Click a student's name to open their profile. The profile is organized into tabs:

Adding notes

How to add a note to a student
  1. 1Open the student profile.
  2. 2Click Add Note (on the Overview tab or Activity tab).
  3. 3Type your note.
  4. 4Click Save Note.
  5. 5The note appears in the Activity tab with a timestamp and your name.

Lifecycle stages

Each student has a lifecycle stage that helps you understand where they are in the customer journey. Set it on the Overview tab.

SubscriberOn your mailing list but has not booked
LeadInterested but has not registered yet
CustomerHas booked and completed at least one class
EvangelistRegular student who refers others

Importing students

How to import students from a CSV file
  1. 1Go to Admin → Students.
  2. 2Click Import Students.
  3. 3Download the template CSV to see the required columns.
  4. 4Fill in the template with your student data.
  5. 5Upload the completed CSV.
  6. 6Review the preview — the system will flag any errors or duplicate emails.
  7. 7Click Import to add the students.
💡
Tip: The system automatically detects duplicate students by email address. If a student already exists, the import updates their record rather than creating a duplicate.

Note: To manually add a single student, click + Add Student at the top of the student list and fill in their information.
