Managing students
View, search, and manage student records — bookings, certifications, notes, and communications.
The Students section is your CRM for everyone who has ever booked a class or been added to the system. Each student has a profile with their full history of classes, certifications, payments, and communications.
Finding students

You can filter the student list by
- All — every student in your account
- Booking — students who have booked a class
- Import — students added via CSV import
- Wallet Signup — students who created a portal account
- Org Invite — students added by an organization admin
Use the search box to find a student by name, email, or phone number. The universal search (Cmd+K) also searches students from anywhere in the admin.
Student profile
Click a student's name to open their profile. The profile is organized into tabs:

| Overview | Contact info, lifecycle stage, linked organization, last contact date |
| Classes | All bookings — upcoming, past, and cancelled |
| Certifications | All certs issued (with PDF download) and tracked external certs |
| Communications | Email and SMS history with delivery status |
| Payments | Payment history and amounts paid |
| Activity | Full audit trail — every action taken on this student |
Adding notes
- 1Open the student profile.
- 2Click Add Note (on the Overview tab or Activity tab).
- 3Type your note.
- 4Click Save Note.
- 5The note appears in the Activity tab with a timestamp and your name.
Lifecycle stages
Each student has a lifecycle stage that helps you understand where they are in the customer journey. Set it on the Overview tab.
| Stage | Meaning |
|---|---|
| Subscriber | On your mailing list but has not booked |
| Lead | Interested but has not registered yet |
| Customer | Has booked and completed at least one class |
| Evangelist | Regular student who refers others |
Importing students
- 1Go to Admin → Students.
- 2Click Import Students.
- 3Download the template CSV to see the required columns.
- 4Fill in the template with your student data.
- 5Upload the completed CSV.
- 6Review the preview — the system will flag any errors or duplicate emails.
- 7Click Import to add the students.
