Customizing your email templates
Edit subject lines, headings, and email body per tenant. Preview with sample data. Send a test. Reset to defaults any time.
Every automatic email we send — booking confirmations, class reminders, cert issued notices, payment receipts — is a template you can customize. The platform ships with 25 templates across 8 categories, and you can override any of them for your tenant.
Finding the template library
Go to Settings → Communications → Templates (or https://cpr.co/admin/settings/communications/templates). Templates are grouped into cards: Booking, Certifications, Payments, Communications, Onboarding, Marketing, Student Portal, Admin Notifications.
A counter at the top tells you how many you have customized: "0 customized · 25 using defaults · 25 total." Next to each template, a Customize button opens the editor.
Editing a template
- 1Click Customize on any template row.
- 2The editor opens with a left pane (editing fields) and a right pane (live preview).
- 3Edit the Subject line, Email heading, and Email body (HTML). Use the "Insert variable" menu to drop in merge tags like {{student_first_name}} or {{class_date}}.
- 4Watch the right pane — the preview renders live against sample data.
- 5Click Save template. A green toast "Template saved." appears, and a "Custom" pill appears next to the template name in the header.
Preview variables
Variables in your template get resolved with sample data in the preview so you can see what students will actually read. For example, {{student_first_name}} might preview as "Jane" and {{class_date}} might preview as "Tuesday, April 1, 2026."
Sending a test email
The Send test button in the editor lets you email yourself (or any address you type in) a rendered copy of the template — useful for checking mobile rendering, reply-to behavior, and spam-filter heuristics.
Resetting to the default
- 1In the template editor, click the Reset button in the action bar (only appears when you have customized the template).
- 2An inline confirmation panel appears: "Reset to default? Your custom template will be deleted."
- 3Click Yes, reset to confirm. Or Keep my version to cancel.
- 4After confirming, the "Custom" badge disappears, the Reset button hides, and the preview reverts to the default copy.
