Saved views and smart lists

Create filtered views on deals and contacts, save them for later, share with your team, and set one as your default.

Saved views let you set up a specific filter — for example, "All deals in the Awaiting Payment stage assigned to me" — and save it so you can jump back to it with one click. You can keep a view just for yourself or share it with your whole team.

Creating a saved view on deals

How to create a saved view
  1. 1Go to Admin → Deals (or Admin → Contacts for a contact view).
  2. 2Use the filter bar at the top of the list to set up your filters. For example: Stage = "Awaiting Payment," Owner = "Me."
  3. 3Once the list shows exactly what you want, click Save View.
  4. 4Give the view a name (for example, "My open invoices") and choose whether it is Personal (only you can see it) or Shared (everyone on your team can see it).
  5. 5Click Save. The view now appears in the Views list on the left side of the page.

Using a saved view

Click any saved view in the left panel to switch to it instantly. The list updates to show only the deals or contacts that match that view's filters. The view name appears at the top of the page so you always know which view you are looking at.

Personal vs shared views

Difference between personal and shared views

  • Personal view — only you can see it. Good for views based on "Owner = Me" filters.
  • Shared view — every admin on your account can see and use it. Good for team-wide filters like "All overdue deals."

Setting a view as your default

How to set a default view
  1. 1Find the view you want to be your default in the left panel.
  2. 2Right-click it (or click the three-dot menu next to its name).
  3. 3Click Set as default.
  4. 4The next time you open the Deals or Contacts page, this view loads automatically.

Editing or deleting a view

To change a view's filters, open the view, adjust the filters, then click Save View again. To delete a view, click the three-dot menu next to its name in the left panel and click Delete View. Deleting a shared view removes it for everyone.

💡
Tip: Create one shared view called "Deals to follow up" with filters like "Last activity more than 7 days ago" and "Stage not Won or Lost." This is a quick way for the whole team to see which deals are going cold.
