Pipeline and stage editor

Rename stages, reorder them, assign colors, set win/loss, and adjust probability — admin only.

Your sales pipeline comes with a default set of stages, but you can change them to match the way your business actually works. You can rename stages, change their order, assign a color to each one, and set the probability of winning a deal at each stage.

Note: The pipeline editor is available to admins only. If you do not see it, ask your account administrator.

Opening the pipeline editor

How to open the pipeline editor
  1. 1Go to Admin → Settings → CRM → Pipelines.
  2. 2You will see your current pipeline with all its stages listed in order.
  3. 3Click Edit Pipeline to enter editing mode.

  1. 1In the pipeline editor, click on the stage name you want to change.
  2. 2The name becomes an editable text field. Type the new name.
  3. 3Click anywhere outside the field or press Enter to save.

Reordering stages

To move a stage, click and hold the grip handle (the six dots) on the left side of the stage row, then drag it up or down to the position you want. Release to drop it in place. The order you set here is the order stages appear on the Kanban board.

Changing a stage color

Each stage can have its own color — this is the color of the column header on the Kanban board. Click the colored circle next to the stage name to open a color picker. Click a color to select it, then click Save.

Win and loss stages

Every pipeline has one Win stage and one Loss stage. These are special — when a deal reaches the Win stage, it is counted as "closed won" in your reports. When it reaches the Loss stage, it is counted as "closed lost." You can rename these stages, but you cannot remove the Win/Loss designation from them.

Win probability

Each stage has a probability percentage — this represents how likely a deal is to close if it reaches this stage. For example, "Initial Quote" might be 10% and "Awaiting Payment" might be 90%. These percentages feed into the weighted pipeline value shown in your reports. Click on the percentage next to any stage to edit it.

How to save your pipeline changes
  1. 1Make all your changes (rename, reorder, colors, probabilities).
  2. 2Click Save Pipeline at the bottom of the editor.
  3. 3Your changes take effect immediately across the whole pipeline.
💡
Tip: Do not create too many stages — five to seven is usually the right number. Too many stages make it hard to remember what each one means and slow down your daily workflow.
